Most of the time, the manager will not have to deal with the similarity reports. However, it is useful to know how the integration to Urkund works in terms of when papers are sent to the service and received by WISEflow.
We recommend that the assessment period starts the next morning after participation ends to be sure that the similarity reports are ready. If the assessment period starts immediately after the participation period ends the reports will be visible when they are finished.
Licence setting: It is possible to hide the similarity report for the external assessors. Contact Customer Service to hear more and activate the setting on your licence.
Standard similarity procedure
On a flow where the manager has made minimal changes to the settings, (defaults can differ between licences), the procedure can be described as:
- A participant hands in a paper (FLOWassign and FLOWlock)
- The paper is put in a queue and scheduled to be sent to the Urkund service.
- Two hours after the participant period and individual period has ended, the paper is transferred to the external service.
- The similarity reports will be available to the assessors in WISEflow when they are finished.
Importantly, papers on the same flow are also checked against each other for text similarity internally.
Note: The service are not run for the following flow types: FLOWhandin and FLOWmulti.
Individual deadlines for participants
When participants have individual deadlines, in step two of the procedure, the participant's paper is scheduled to be sent to the Urkund two hours after their individual participation period ends.
Importantly, if the participant has handed in one time and the send-off has been scheduled once, it cannot be re-scheduled. Therefore, you cannot administratively change the participant's deadline to re-reschedule the send-off. This also means that you cannot alter the time of the deadline to speed up the send-off of the paper for plagiarism.
However, it will always be the most recent uploaded paper that is sent at the scheduled time.
Withdrawal of paper
If you have prevented the participant from withdrawing the paper to re-submit it, the paper is sent off to plagiarism check one hour after the paper has been handed in.
High similarity results
When you receive questions from assessors of participants with high similarity results it is important that you remind them to read the similarity report. Especially in group exams with individual papers, where papers can have high amounts of similar material, the report allows the assessor to check whether the sections of the paper that have shown similarity are legal or illegal.
