Licence Settings

There are numerous settings at the licence level that can be set to best suit your institution and are described below. To update any of the following settings on your licence, you must create a service task in WISEflow Support and specify which setting(s) you require updating.

General
Licence Setting Description
Logo of the licence Customise the licence with an institutional logo which will be visible in the upper right-hand corner when logged into WISEflow. Please supply UNIwise with a PNG file of your institution's logo, 100x100 pixels. It can be either colour or black & white. We use the logo on both white and black backgrounds and we can define a different logo for each if available.
Login banner image Customise the licence by adding a banner image that will be displayed at the login page for your institution.
Grading scale Define one or more grading scales for your use by your markers. It is also possible to define a scale as the default which will appear as the chosen scale on each new flow but can then be altered to an alternative scale as required. 
Default language Choose the default language of the licence. This language is given to a new user if a language has not been specified. If not specified, the default language will be English.
Default language for the message centre Choose the default language for messages from the message centre. Licence administrators can change the language for individual messages upon creation. If not specified, the default language will be English.
Create user automatically at login (only for WAYF/eduGAIN/Feide) Decide whether users logging in with WAYF/eduGAIN/Feide are automatically created as users if they do not have existing user accounts in WISEflow.
Update user information at login It is possible to allow WISEflow to update the user information when they log in. On newly created licences, this setting is disabled by default.
Unique email address for user By default, the licence requires that all email addresses are unique and users with the identical email address cannot be created. This requirement can be removed.
Unique examination ID Assign participants unique identifiers to be used within the institution. Primarily these are used to identify students on a flow when they are anonymous within the assessment process.

Note: This setting can only be utilised with integrations.

Licence association data Add individual user attributes to identify users or group users together. For example: class, department, student ID, etc.
Allow editing of personal information by users in their user profile The first setting groups the first name, last name, and telephone number together. The second setting sets the editable status for the primary email address only.
Preparation and Participation
Licence Setting Description
Hide managers for participants on all flow types Hide information on managers from the participant's flow page on all flows created on the licence. On newly created licences, this is disabled by default.
FLOWmulti advanced demo Overwrite the default advanced FLOWmulti demo with a custom-made assignment. The assignment has to be built by an author on the institutional licence and the reference code needs to be shared with customer support.
Hide ID being used for anonymisation from participants When participants are anonymised on a flow, they are identified using a unique ID identified on the flow. It is possible to hide this ID from participants. On newly created licences, this is disabled by default.
Hide FLOWattend flows for participants If enabled, FLOWattend flows will be hidden for participants by default. Managers can change the visibility for individual FLOWattend flows under the Advanced tab of a flow. On newly created licences, this is disabled by default.
No access to paper after submission (FLOWlock) If enabled, participants will not be allowed to access a paper after submission. Please note that participants will still be able to access their paper if the assessor(s) share feedback with them. Access to a paper can be adjusted by managers for individual flows under All participation settings. On newly created licences, this is disabled by default.
File Size

File size limits are per participant per flow. The default maximum file size for the main PDF submission in FLOWassign is 20MB. For the appendix material it is 1GB in total for all files submitted. For FLOWhandin the file size limit it also 1GB in total for all files submitted. It is possible to increase the file size limits.

Regardless of flow, each individual file uploaded has a maximum size limit of 5GB. Therefore, even if the maximum limit is set higher on your licence, for example 10GB for appendix material and FLOwhandin, a participant would only be able to submit files of a maximum 5GB each e.g. 2 files of 5GB each.

Permission to submit late

It it possible to set a default time for FLOWassign and FLOWhandin flows on a licence which extends the end date time for participant by a certain timeframe (in minutes). The time will not be visible to participants. 

Allow blank submission

Participants can be allowed to submit a blank submission instead of a piece of work, or disabled if this is not appropriate for the institution. This setting can be adjusted by managers for individual flows under All Participation settings of a flow.

Automatically submit paper at participation deadline

If enabled, FLOWlock and FLOWmulti flows will automatically be set up to allow automatic submission of the paper at the participation deadline. This setting can be adjusted by managers for individual flows under All Participation settings of a flow.

Paper Submission

Hand-written submissions, whether part or whole exams, can be scanned to PDF and uploaded to WISEflow in bulk.

Assignments, Assessment and Review

Assessment

Licence Setting Description
Submission of final grade By default, assessors have to submit grades on a flow. This setting can be adjusted by managers for individual flows under Marking and review settings of a flow.
Procedure for submitting final grades Determine if the default procedure for submitting final grades should either be marker agreement or reviewer approval. The default setting is marker agreement. Managers can adjust the procedure for individual flows under Marking and review settings of a flow.
Show final grade By default, the final grade is shown to participants after the end of the marking period. This can be disabled for all flows on a licence. Managers can adjust this setting for individual flows under Marking and review settings of a flow.
Use assessor distribution from external source per default If the SIS integration supports assessor distribution, this setting can be set to have all flows use the SIS distribution as their default setting. Using the external source for the distribution of assessors can always be toggled on flows individually. This is enabled by default but only applicable with an integration.
Assessor access to grade overview Assessors can export/download a grade overview as a CSV file or PDF file. On newly created licences, this is disabled by default.
Allow external assessors to access text similarity reports By default, external assessors can access text similarity results and reports if an integration with Turnitin or Ouriginal exists. This can be disabled, meaning that external assessors do not see the text similarity results or have access to the reports. 
Alternative grades for assessors Give assessors the ability to award alternative grades in the grading tool. On newly created licences, this is disabled by default.
Allow for instant export of grades If enabled, final grades will be automatically exported to a (student information) system connected to WISEflow. Only available if the module FLOWInstantAssessment is enabled.
Set New Marker Journey to Default Enabling new marker journey per default will make the new marking tool default on every new flow. You can on the individual flow switch between current marking tool or the new marking tool. Be aware that marking work from the new marking tool cannot be carried over to the current marking tool and vice versa.

Assignments

Licence Setting Description
Author assignment deadline buffer (in hours) Give an author a set deadline to attach an assignment to a flow. The hours set in this section are related to the participation start time. By default, the deadline to attach assignments for authors is the start of the participation period.
Access to assignment after participation ends (FLOWlock) If enabled, participants will have access to the assignment after the participation period ends. The assignment is made available to all participants, regardless of whether they participated in the flow, or not. This setting can be adjusted by managers for individual flows under All Participation settings of a flow.

Reviewing

Licence Setting Description
Sharing of comments/annotations in the marking tool

Sharing comments and annotations within the marking tool can be set as the default to any of the following:

  • Private
  • Shared with participants
  • Share with co-assessors
  • Shared with all

This setting only affects newly created annotations. Reviewers can change the sharing status for any comment/annotation inside the marking tool.

The default sharing setting for new licences is Private

Complete reviewer access If enabled, a reviewer can see all annotations and comments made for a participant/group regardless of the sharing settings. On newly created licences, this is disabled by default.
Reviewer access to marking overview If enabled, the reviewers will be given access to view the grades by default. Managers can adjust the access for individual flows via the reviewer allocation. On newly created licences, this is disabled by default.
Grade Justifications and Re-marking

Grade Justifications

Licence Setting Description
Grade Justification support If grade justification is enabled on a licence, it is by default possible to create grade justification. Managers can adjust this  for individual flows under Marking and review settings.
Allow participants to request grade justifications in WISEflow By default, students can ask for a justification of their awarded grade/score and/or feedback within WISEflow. If the setting is turned off, then a grade justification request can only be created through our API. Managers can adjust this for individual flows under Marking and review settings.
Assign grade justification requests to internal assessor By default, requests for grade justifications will be automatically assigned to the relevant internal assessor. If the setting is disabled, grade justifications will be assigned to external assessors. Managers can adjust this for individual flows under Marking and review settings.
Duration for participant's grade justification request The default time period within which participants can request a justification of their grade is set to 14 days from the end of the marking period. This timeframe can be changed. 
Duration for assessor's grade justification response The default time period available to assessors to complete a response to a grade justification request is set to 14 days. This timeframe can be changed.
Allow oral grade justifications Allow assessor(s) to indicate that they have provided an oral response to a grade justification request.

Allowing oral grade justification will de-anonymise participants who make a request.

Enable grade justification per default on FLOWseries subflows By default, support for grade justifications is disabled on FLOWseries subflows.

Re-marking

Licence Setting Description
Default re-marking period The default length of a re-marking flow is 56 days. During this time the re-marking flow can be synchronised with SIS, if the integration supports this. This timeframe can be changed.
Automatically create re-marking flows If enabled, a re-marking flow will automatically be created when the assessment period ends. This is enabled if re-marking is available on the licence.
Lockdown Browser and Invigilation Features

Lockdown Browser

Licence Setting Description
Buffer period Invigilator password after flow start (FLOWlock & FLOWmulti with lockdown browser)

By default, the invigilator password is required if the lockdown browser is initiated (Start the flow) by the participant on or after the participation start date, e.g. buffer is set to 0 minutes. A buffer period can be set on the licence to postpone this requirement for a predefined amount of time.

The buffer period will apply to individual participation start dates if they differ from the general start date.

Block browsers If enabled, the students will be forced to close all browsers running in the background. This is mainly to prevent browser based communication from running during the exam. On newly created licences, this is disabled by default.
Hide flow start timer and time left If enabled, time during a FLOWlock and FLOWmulti are hidden from participants (located in the upper right corner inside the lockdown browser). On newly created licences, this is disabled by default.
Allow virtualisation in admin version of the lockdown browser Allow the admin version of the lockdown browser to run in a virtual environment. The admin version is found in the supporter tab in WISEflow. On newly created licences, this is disabled by default.

Participation Monitor

Licence Setting Description
Participation monitor default passive timer Set a default time after which participants are shown as passive in the participation monitor. This will set a default time in minutes for all flows on the licence. The time for inactivity can be adjusted for individual flows in the participation monitor.

Invigilation Features

Licence Setting Description
Facial recognition interval The standard interval when a picture will be taken during a FLOWmulti or FLOWlock with lockdown browser and facial recognition is 5 min +/- 20%. This timeframe can be changed.

Feedback Analysis Module Produces a indication of an assessor's sentiment in the feedback they provide to their participants
Voice Detection Module Monitor a user's microphone during the exam
Facial Comparison Module Used in conjunction with the lockdown browser where regular images are taken of the user during the exam and compared to an image taken at the start
FLOWprovisional Adds the manager role in conjunction with the assessor role. Allows assessors to set up their own flows to support their students. This 'slimmed down' version of the manager role does not allow the extraction of data e.g. grades awarded where the normal manager role allows this.
Instant Assessment Module Allows grades to be automatically extracted to an SIS as they are submitted (only with an integration)
Integration Portal Enabled if the institution uses an integration client as opposed to using the API
WISEflow API Enables access to the WISEflow API which can be used as a programmable interface to WISEflow for external applications
New Marking Journey Module Clients currently have the option to opt-in to the new marking tool or make it the default on their licence; to become the default for all by the end of 2025
Malware Scanning Module The malware scanning service scans participant files uploaded to FLOWhandin, FLOWassign and FLOWlock flows to check for malicious content.
Device Monitor Module The Device Monitor can be set to capture screenshots at random intervals on each participant's device and a log of running applications during the participation period of the flow.
Direct Flow-Based Login Enables a direct flow-based login allowing participants to login with a username and code and gaining access directly to the flow during the participation period.
Live Chat Allows managers to enabled a direct chat functionality on FLOWlock and FLOWmulti flows.
LearningToolsInteroperability (LTI) Offers a way to integrate with learning applications, often provided by third-party vendors, with platforms like Learning Management Systems (LMS) such as Moodle, Canvas, or Blackboard.
