User Roles and Configuration

WISEflow licences come with a standard set of roles and permissions that can be assigned as appropriate amongst the institution's user base. However, it is also possible to set some non-standard and bespoke combinations of user roles and these are described in this article.

Standard Roles and Permissions

The standard set of roles provided in the WISEflow licence is shown below:

Each checkbox corresponds to permission to access a particular area (or tab) in the WISEflow licence.

Role Permission
Participant Provides access to the participation tab
Assessor Provides access to the marking tab
Manager Provides access to the managing tab
Invigilator Provides access to the invigilation tab
Author Provides access to the authoring tab
Reviewer Provides access to the reviewing tab
Support Provides access to the support tab

Access to the Licence Administrator role is managed by UNIwise. Please contact the UNIwise Support Team if you would like to add or remove Licence Administrators.

Combining Roles and Permissions

It is possible to combine different roles and to set alternative role mapping defaults for the licence. For example, it may be the case that you would like all academic colleagues to automatically receive the Assessor and Author roles, or that Professional Support staff should have a combination of the Manager and Invigilator roles. There are lots of possibilities for how the roles can be arranged.

Basic and Extended Support Roles

One common additional configuration option is to split out the Support role to that of Basic Support and Extended Support. The former has a more restricted set of privileges whereas the latter has full access. These are detailed below.

Basic Support

The basic support role can:

  • Impersonate other users
  • Use the paper lookup for similarity reports
  • View the operational status page

Extended Support

The extended support role can do all of the above as well as:

  • Create and edit user accounts
  • Access the list of active flows on the licence
  • Access the administrative version of the lockdown browser
Protected Role

It is possible to have a protected role option made available on your licence. If an individual user is marked as protected it means that they cannot be impersonated by another user with either of the support roles.

Paper Lookup Role

The paper lookup permission, used for retrieving further information on submissions flagged by the similarity services (more information here), can be given to any WISEflow user. When users are given this permission they will see the Support tab but will only be able to use the paper lookup feature and no other elements of the support tools listed above.
