WISEflow Device Monitor - Introduction

This article has been updated to reflect the enhancements that will be available after Friday 25 October as part of the October Release 2024.

The Device Monitor is a software application which is made by UNIwise and can be used on FLOWassign, FLOWhandin or FLOWlock and FLOWmulti without the lockdown browser. When enabled, the Device Monitor can be set by your institution to capture screenshots at random intervals of your device during the participation period of the flow. It can also be set to capture a log of any application opened on your device during the same period. Your institution may set the Device Monitor to capture either or both of these sets of information. The screenshots and application list will be available to managers and invigilators for review. Screenshots and the application process list are compiled within the participation period of a flow. If you submit your paper before the participation deadline, the monitor will automatically stop capturing this information but not when you have only uploaded a document.

Before the First Exam

It is necessary to have the Device Monitor installed on your computer before the start of the exam. Be sure to read the requirements for your computer and install the Device Monitor well in advance of the exam. It is important that you do this well ahead of the date of the exam in order to detect any potential problems and perform any necessary troubleshooting to participate in the flow.

On the Day of the Exam

The following guide explains the general process for exams conducted using the Device Monitor and details some simple steps to help you prepare for your exam.

Before the Exam Begins
  • One hour before the beginning of the exam, the option to open and start the Device Monitor will become active on the flow page.

  • The assignment or the option to Start the flow will be become available once you have started the Device Monitor and the countdown to the participation start date has run down.
  • The Device Monitor will only start capturing screenshots/application process list when the participation period has started.
  • The live status of the Device Monitor will be indicated on the flow page:

    The Device Monitor is not opened. The Device Monitor has been opened but monitoring has not started yet. The Device Monitor has been opened and monitoring has been initiated.
When the Exam Has Begun
  • The exam begins automatically once the countdown reaches zero.
  • When you have started the Device Monitor, you can start working on your response (see the information on the Overview Page of a Flow for more details).
    The Device Monitor will take screenshots of your device at random intervals while it is running and only during the participation period. The application process list is also only compiled during this time.
  • The assignment is only accessible as long as the Device Monitor is active and running.

  • A red frame around your screen will indicate that the Device Monitor is actively running and taking screenshots.

Submitting your Responses
  • Once you are ready to submit your work, click on Go to submission (for FLOWlock and FLOWmulti) or upload your paper and submit it (for FLOWassign and FLOWhandin).
  • The Device Monitor will automatically stop taking screenshots and/or compiling the application process list, once you have submitted your paper and, if necessary, appendix material(s).

    The Device Monitor will only stop running when a submission has been made, not when a document has only been uploaded.

End the Device Monitor
  • The Device Monitor will automatically stop taking screenshots/compiling the application process list when the (individual) participation period has ended or you have submitted your paper.
  • You can review screenshots and processes that have been taken during the participation period under View monitored activity.

  • If disabled by the manager, screenshots as well as the assignment will not be visible for you.

Loss of Internet Connection
  • If your internet connection fails during the exam, the Device Monitor will continue taking screenshots and those will be stored on your device temporarily until connection to the internet is re-established. Make sure you do not stop the Device Monitor before it has completed uploading the necessary screenshots to WISEflow.

  • If you are not connected to the internet for an extended period, the field where you can upload and submit your work will disappear from view. You need to connect to the internet again to submit your work. It can take up to 60 seconds until the submission field appears automatically.
