WISEflow is designed primarily to be used in an online capacity. However, there are some circumstances where a continuous internet connection is not practical or possible for assessors. To cater for such situations WISEflow offers some offline features.
Once you have selected offline marking, there are three steps to building your offline marking package for export:
Step One - Package Content
Select the content of your package. First choose the structure of the content: whether the submissions should be contained in an individual folder per student (which gives a better navigational experience) or to have all the files in a single folder (which may be better if you intend to perform a bulk print job). You can then choose whether the coversheets for each submission are included as either the first page of each submission or separated into a single separate file.
Please note that for a FLOWmulti, the options for the structure of the submissions in the download package are removed. This is because within a folder for each participant, each item is in a separate folder. As this is already a large structure, it is not possible to put all the files in one folder as this would unmanageable.
Finally, you may select whether to include the marking guidance, the distributed assignment(s) a grade sheet (Excel spreadsheet), and include rubrics in the grade sheet (if applicable).
In order to upload marked versions of the participants files back into WISEflow, you must choose to download the submissions and the inclusion of coversheets into separate folders (except for a FLOWmulti where this option is not available).
Please note that downloaded submissions will be displayed by an order number first and then, if participants have been anonymised, by the chosen method of anonymisation. For example: if Participant index has been chosen to anonymise participants, the order number of the submission will be 1, 2, 3, etc., followed by an underscore and the participant index number 1, 2, 3, etc. (1_1, 2_2, 3_3, etc.).
Step Two - Filter Submissions
Filter the list to a smaller subset of submissions if you wish. Navigate by clicking on the Filter submissions box as highlighted in the image above.
Step Three - Export
To request your package for export, navigate by clicking on the Export box as highlighted in the image above. Check the package content summary. If any changes need to be made, return to either the Package content or Filter submissions screen by clicking on the corresponding box again and amending your selections. When you are ready, click on the button Generate package.
When the zip file is ready (the time may vary depending on the size of the job) you will be taken to the following screen:
Click Download ZIP file to download to your computer where you can use an appropriate application to unzip the files. Alternatively, you can click on Build a new package and you will be taken back to the initial Package content screen.
Once you have downloaded the zip file:
Mac Users - your files should be automatically extracted and available for update.
Windows Users - right-click on the zip folder and select Extract All. The newly extracted folder is the one to be used and its contents updated.
If you plan to provide feedback by annotating/marking-up the submitted files, it is vital that once the files have been extracted, the highest level folder retains its name (includes the flow ID) and the structure of the folders/files remains intact. This allows all marked revisions of the original files to be re-uploaded to WISEflow, in bulk, using the one folder.
If scripts are extracted from WISEflow, assessors and reviewers will not have access to the various marking, annotation and feedback tools that WISEflow offers whilst they are working outside of the platform.
Submissions made to FLOWassign, FLOWhandin, FLOWlock and FLOWmulti can be downloaded in bulk in a single zip file and can include a grading spreadsheet or grade sheet. To build your offline marking package, select Offline marking from the flow overview page.
Only reviewers with the privilege to decide the final grade are able to download an offline marking package

At present, it is not possible for reviewers to complete rubrics and therefore cannot be included as part of the grade sheet download.

To support marking activities outside of WISEflow, it is possible to download, annotate/mark-up submitted files with feedback and upload them back into WISEflow to be viewed by the participant. The grade sheet is an excel spreadsheet on which rubrics can be completed (if applicable) and final grades recorded and uploaded into WISEflow.
When using rubrics, if a grade scaler has been enforced, it is not possible to input a final grade into the grade sheet. This grade is calculated as part of the rubric completion within WISEflow and cannot be changed.
See the section above on bulk downloading scripts for including a grade sheet in your download package. Alternatively, follow the same instructions but select only a grade sheet to be included in your download package.
- The default sharing state of submission comments is inherited from the flow setting but can be altered on the grade sheet
- Enter comments on the submission for an individual participant
- Enter the appropriate grades for the individual participants; the example shows a percentage grading scale but this could letter grades, pass/fail, or any other grading scale available on your licence. Take care to only use values that exist on the grading scale for this flow.
- Define who the rubric should be shared with
- Complete the rubric by entering marks or grades as defined by the rubric; depending on how the rubric has been designed, this will be by entering a score in the appropriate field or selecting the mark/grade from a drop-down list
To enter a decimal number, use a decimal point (.) and not a comma (,) to ensure the number is recognised correctly.
- Rubric score sum is the the sum of the entered rubric marks for a participant and is displayed in the final column for easy copying to the Final Grade column
- If more than one assessor has been assigned to a student, you will see details of your co-assessor listed against each student in a column labelled Co-assessors. A second tab on the grade sheet lists your co-assessors and their contact details.
Once your grade sheet has been completed and saved, return to the offline marking tool and drag and drop or browse for the grade sheet to add to the Import package screen.
Once the grade sheet has been uploaded, additions to the grade sheet such as the submission feedback and grades will be highlighted as shown above as well as confirming the completion of rubrics (if applicable). At this point, if any changes need to be made, the action can be cancelled, the grade sheet amended and re-uploaded. When the data is correct, click Import all.
For grade sheets that include completed rubrics, it is possible to approve these rubrics in bulk by ticking the check box Approve all rubrics that fulfil their criteria. A warning also advises that it is still possible to cancel the import at this stage but not once the import has started.
An upload summary is displayed; click Finalise to continue.
The final screen confirms that participants' records have been updated.
To support marking activities outside of WISEflow, the grade sheet is an excel spreadsheet on which the final grades are recorded and uploaded into WISEflow.
Rubrics are currently not available for reviewers to complete. Only the final grade can be added to the grade sheet and uploaded by the reviewer using the offline marking method.
See the section above on bulk downloading scripts including a grade sheet in your download package. Alternatively, follow the same instructions but select only a grade sheet to be included in your download package.
- Assessor details and the grades they have provided for each participant
- Identifies the grading scale used on the flow
- Defines whether the grade has yet to be finalised
- The final grade for each participant must be entered in this column
- A second tab on the grade sheet lists details of the co-assessors and their contact details.
Once your grade sheet has been completed and saved, return to the offline marking tool and drag and drop or browse for the grade sheet to add to the Import package screen.
Once the grade sheet has been uploaded, additions to the grade sheet such as the grades will be highlighted as shown above. At this point, if any changes need to be made, the action can be cancelled, the grade sheet amended and re-uploaded. Finally, click Import all.
A warning message appears advising that it is still possible to cancel the import at this stage but not once the import has started.
An upload summary is displayed; click Finalise to continue.
The final screen confirms that participants' records have been updated.
The reviewer must now submit the imported final grades in the usual way.
Once all the folders and files have been extracted from the zip folder, submission files can be annotated or marked-up to provide feedback to the participant. They can be saved in the same submissions folder and be given the same file name, replacing the original submitted files. WISEflow will recognise if any changes have been made to the original file. Annotated or marked-up scripts can be returned to students using the Import Submission Feedback functionality, similar to uploading the grade sheet. Any additional feedback files that you wish the participant to view as part of their feedback, can be added to the participant's submission folder.
Drag and drop the entire downloaded folder into the box or browse for the file in the usual way. This folder is the highest level folder and is labelled with the flow ID.
Once imported, any files to be uploaded will be shown in the import pane in green. Then click the Submit and upload feedback button.
The next pop-up summary window will confirm the number of files being uploaded or deleted. Then click Upload feedback.
A final summary window displays the progress on uploading the files, which may take a few minutes depending on the number and size of the files.
Uploaded annotated/marked-up files can be seen in the marking tool against each participant within the Submission Overview window as Marked Revision Files.
Uploaded additional feedback files can be seen in the marking tool against each participant within the Submission Feedback window.
Marked revision and additional feedback files can be uploaded after the assessment for a participant has been submitted in WISEflow as long as it is within the marking period.
It is not possible for reviewers to annotate or mark-up submission files and upload them to WISEflow.
